When you book your first appointment you will receive an Intake Form email that you will fill out prior to arriving.
If this paperwork is not completed prior to your evaluation, your therapist will not be able to see you so please reach out to our team if you do not receive this email.
An appointment confirmation with date, time and our clinic’s contact information will be sent via email when you book. You will receive an appointment reminder the day before your appointment.

When you arrive we have a virtual front desk with capable and efficient patient advocate team members that are happy to check you in. We will review our welcome to practice folder at the beginning of your appointment.
You MUST bring a copy of your insurance card and your drivers license to your first
appointment if you are wanting to utilize your insurance for payment of services.
One of our biggest learning curves as a new clinic is our virtual desk. We understand, most Montanans love Montana just the way it is and don’t get us wrong, we do too. But part of adapting as a business in this economy is knowing where our money is well spent and a virtual desk is one way to put more of our resources into our incredible therapists, helps to make our clinic appointment fees competitive, give us the opportunity to be active in our community and turns the making of our hippotherapy clinic dream into a reality.
So while we understand that our virtual front desk may be different, our team, including our real life patient advocates strive to make every client’s experience positive, streamlined and stress free.
At Heart and Sole Therapy, we utilize a virtual front desk. This means that all of our front desk staff are virtual. When you arrive for each visit, you will be expected to check in at the virtual station.
Our front desk is staffed from 8am-5pm Monday through Friday. At any time you can click the computer screen to “Call the
Receptionist” and our front desk staff will appear on screen.
Our front desk staff can print any related documents requested and may ask you to scan your paperwork for review.
Patients can book, reschedule, or cancel appointments.
Patients can make payments, review invoices, or ask billing-related questions. You are encouraged to ask questions and ask for clarification about services, policies, or
procedures. Please discuss these with your therapist or clinic staff.
Please be respectful of our virtual front desk equipment including the computer and scanner. To ensure the smooth functioning and security of our office operations, please do not allow children to touch or play with this equipment while in the waiting area.
Our welcome to the practice folder that your therapist will review with you at your first appointment, serves multiple purposes, including providing essential information about our practice and values, and outlining what to expect during your initial visit and future visits.

At Heart and Sole Therapy, we customize your child’s or your care with resources that include but are not limited to home programs that are designed specifically for you or your child to achieve the desired outcomes in therapy.
We encourage open and honest communication on progress, challenges or if adjustments need to be made, if necessary.
Cancellation on appointments to reschedule at least a 24 hour notice. Please call our office for a makeup appointment by calling 406.702.2779. In an instance of cancellation, without 24 hours notice, we reserve the right to charge you a late cancellation fee.
In the instance of a no-show you will be charged a no show fee. Review this policy in your handbook for more information.

We understand that unforeseen circumstances may occasionally delay your arrival for an appointment. Please review this policy in your handbook to ensure you or your child get the most out of the duration of appointments and overall treatment.
If you know you will be late, please call our office as soon possible. Do not text or email.
To maintain a safe environment for everyone, please do not attend your appointment or bring your child to therapy if they:
1. Have a fever
2. Have tested positive for or been exposed to a contagious illness
3. Are experiencing contagious symptoms
You or your child are welcome to return when symptom/fever free for 24 hours

Britta Dalbey connected so well with my daughter and helped to evaluate her speech needs and develop and implement a treatment plan.
